How to Access a Microsoft Teams Group Calendar in Google Calendar

For many professionals, managing schedules across different platforms is a daily challenge. If your organization uses Microsoft Teams for collaboration but you prefer Google Calendar for your personal or primary schedule, you may find that Microsoft doesn't offer a "one-click" sync button. However, because MS Teams calendars are built on the Outlook/Exchange framework, you can bridge the gap using the iCal subscription method.

Follow this guide to sync your Microsoft Teams group calendar with your Google Calendar web application.

1. Locating the Teams Group Calendar via Outlook

Microsoft Teams doesn't directly expose the "Publish" settings for a group calendar. Since every Team is backed by a Microsoft 365 Group, you must access the calendar through the Outlook web interface first.

  1. Log into your Outlook Web App (OWA) at https://www.google.com/url?sa=E&source=gmail&q=outlook.office.com.
  2. In the left-hand sidebar, scroll down to the Groups section and select the Team name.
  3. Click on the Calendar icon associated with that specific group.
  4. In the top right corner, click the Settings (gear icon) and select "View all Outlook settings."

2. Publishing the Calendar as an ICS Link

To move data into Google Calendar, you need a live link that Google can read. This is done through "Calendar Publishing."

  • In the Settings menu, navigate to Calendar > Shared calendars.
  • Under the "Publish a calendar" section, select the Group Calendar you want to sync.
  • Select the level of detail you want to share (e.g., "Can view all details").
  • Click Publish.
  • You will see two links: an HTML link and an ICS link. Copy the ICS link.

3. Importing the Link into Google Calendar

Now that you have the data source, you need to tell the Google Calendar web application to subscribe to it.

  1. Open Google Calendar (calendar.google.com).
  2. In the left-hand sidebar, find the section labeled "Other calendars" and click the plus (+) icon.
  3. Select "From URL" from the menu options.
  4. Paste the ICS link you copied from Outlook into the URL field.
  5. Click Add calendar.

4. Managing the Sync Frequency

It is important to understand that this is a one-way sync (Read-Only). You can view Teams events in Google, but you cannot create Teams meetings from within the Google interface. Additionally, sync times can vary.

  • Sync Delay: Google Calendar typically refreshes external iCal feeds every 12 to 24 hours. Changes made in Teams will not appear in Google immediately.
  • Visibility: You can toggle the visibility of the Teams calendar in Google by checking or unchecking its name in the "Other calendars" list.

5. Why Can't I See My Team's Private Channels?

Microsoft Teams handles Private Channels differently than standard channels. Private channels have their own separate SharePoint sites and do not share the main Group Calendar. Currently, Microsoft does not support publishing calendars for private channels. You can only sync the primary "General" group calendar or individual personal calendars.

Conclusion

Accessing your Microsoft Teams group calendar in Google Calendar is a powerful way to consolidate your workflow. By utilizing the ICS publishing feature in Outlook, you can ensure that your team's meetings, deadlines, and milestones are visible alongside your other appointments. While the sync isn't instantaneous, it eliminates the need to switch between web applications to check your daily schedule.
